Job Description

Position:  Senior Manager - Admin & Security

Education: Graduation/Equivalent Course

Experience: 15 to 25 Years

Location: Gurgaon, Haryana

 

Key Responsibilities:

 

1. Facility Operations & Maintenance

  • Oversee day-to-day operations of corporate offices, including:
    • Building maintenance
    • HVAC, electrical, plumbing, lifts, DG sets
    • Fire & life safety systems
  • Ensure uninterrupted facility services with minimal downtime.
  • Develop and implement preventive and predictive maintenance programs.
  • Coordinate with OEMs, AMCs, and service providers for technical systems.

2. Safety, Compliance & Risk Management

  • Ensure compliance with statutory, legal, and safety regulations, including:
    • Fire NOC
    • Electrical safety
    • Building occupancy norms
    • Local labor and establishment laws
  • Conduct regular safety audits, risk assessments, and mock drills.
  • Manage Business Continuity Planning (BCP) related to facilities.

3. Vendor & Contract Management

  • Identify, empanel, and manage vendors for:
    • Housekeeping
    • Security
    • Pest control
    • HVAC & technical services
    • Office support services
  • Negotiate contracts, SLAs, and commercial terms.
  • Monitor vendor performance against KPIs and SLAs.
  • Ensure timely renewals, compliance documents, and billing reconciliation.

4. Space Planning & Workplace Experience

  • Lead space utilization, layout planning, and office expansions/moves.
  • Coordinate fit-outs, refurbishments, and renovations with projects teams.
  • Support initiatives to enhance employee workplace experience and productivity.
  • Manage seating capacity, meeting rooms, common areas, and amenities.

5. Budgeting & Cost Optimization

  • Prepare and manage annual facility budgets (OPEX & CAPEX).
  • Control costs related to utilities, services, and maintenance.
  • Identify and implement cost-saving initiatives without compromising service quality.
  • Track expenses, forecasts, and variance analysis.

6. Utility & Asset Management

  • Monitor and manage utilities consumption (electricity, water, fuel).
  • Maintain asset registers, AMC records, and lifecycle management.
  • Drive energy efficiency and sustainability initiatives (green practices).

7. Team Management & Coordination

  • Lead and manage facility teams and site administrators.
  • Define roles, train staff, and ensure performance standards.
  • Coordinate with HR, IT, Finance, Security, and Legal teams.

8. Stakeholder Management

  • Act as single point of contact for senior leadership and internal stakeholders on facility matters.
  • Address employee concerns related to facilities promptly and professionally.
  • Support audits, management reviews, and corporate initiatives.
